How Kroply Works: Setup, Billing and Stock

Prepare accurate shop records before recording new trade. Follow this sequence to connect purchases, sales, payments and stock, and use the linked help pages for current screen-level instructions.

1. Register and review the current terms

Start registration, complete the required account and business details and OTP verification, and review the current trial or plan terms. Access and allowances depend on the account and subscription.

2. Configure the shop

Check shop details, invoice settings and payment accounts. Select the intended shop and review staff permissions before entering transactions. Core workflows need internet access.

3. Add products and parties

Prepare products with the correct pack, unit and configured tax details. Add customers and suppliers with recognizable identities so future transactions reach the right accounts.

4. Establish opening stock and balances

Agree a cutoff date and reconcile physical stock and party balances. Use the supported opening-record workflow; administrative imports need confirmed templates and scope. Do not count the same history again as an opening balance.

5. Record supplier purchases

Compare the delivery with the supplier bill. Review product matches, quantities and payment details before saving and checking the supplier account.

6. Use invoice OCR when applicable

Upload a supplier invoice photo or PDF. Kroply extracts information into a draft; review and correct every line before saving the purchase to update stock.

7. Create sales invoices

Select the customer and products, review quantity, price and configured taxes, then record the actual payment received. Preview the saved invoice before printing or sharing.

8. Track customer credit

Record later payments through the customer collection workflow. Review outstanding, advances and return credit before sharing a balance message.

9. Monitor stock

Recorded purchases and sales update stock. Review returns, adjustments and godown transfers, and compare recorded quantities with physical stock. Record batch and expiry information and review stock reports. Check the physical goods and applicable sale requirements before billing.

10. Review reports

Choose the shop, report and period. Compare summary values with the underlying transactions. Check cost records and report preferences before interpreting profit, and review GST details with your accountant.

Can I start by importing any old software file?
