Fertilizer Shop Profit: Check the Inputs

By Kroply Team · Updated:

Short answer

A Profit & Loss report depends on the records behind it. Before using the displayed result, check the reporting period, sales adjustments, recorded cost of sold items, expenses and stock-audit preference. A positive cash balance or a high inventory selling value does not establish profit.

Read the period and basis

Open Profit & Loss in the reporting area and select the intended shop and dates. Review the displayed basis and whether stock-audit profit or loss is included. Keep these choices consistent when comparing periods. A change in preferences can change the result without any new trading activity.

Check costs before trusting margins

Kroply uses stored purchase costs for sale items, with fallback handling for older records. Review any warning about sale lines without a recorded purchase price. The report warns that missing costs counted as zero overstate profit and margin. Investigate the original purchase and product history; a large apparent margin can be a data problem.

Use a small illustrative calculation

For arithmetic only, assume net sales on one consistent basis are ₹20,000, the corresponding recorded cost of goods sold is ₹16,000 and operating expenses are ₹1,500. With no other adjustments, the difference after those expenses is ₹2,500. This simplified example is not a customer result, a complete financial statement or a promise that every report uses only these three inputs.

Separate stock purchases from sold-item costs

Buying stock and selling it are different events. Unsold goods still held in the shop should not be confused with quantities already sold when interpreting the cost component. Check units as well as values, especially where a pack is split into loose quantities. Supplier payments explain settlement; they do not by themselves explain the cost attached to a particular sale.

Review returns, expenses and stock audits

Open the original transaction behind a return and check the report’s treatment before making another manual deduction. Compare supported expense records for the same period. If stock-audit impact is enabled, inspect the relevant stock adjustments and their explanation. Keep the preference visible in review notes so a later reader can reproduce the result.

Resolve missing evidence before drawing conclusions

Collect the source invoices, expense references, missing-cost warnings and report settings behind any unusual result. Compare the corrected records again after an authorized adjustment. For formal accounts or an uncertain classification, have the accountant review those inputs. This is a guide to reading the product’s report, not an accountant-reviewed financial statement.

Questions and answers

Can missing purchase costs inflate profit?

Yes. The report identifies uncosted lines and warns that treating those costs as zero overstates profit and margin.

Why record the stock-audit preference?

Including or excluding stock-audit profit and loss affects interpretation. Compare results using the same setting and inspect the underlying adjustments.

How Kroply handles this

Kroply reports use recorded sales, purchases, payments, stock and expenses. Select the intended shop and period, then inspect the underlying rows before interpreting a total.

Things to consider

Keep date ranges and report preferences consistent. Sales, collections, outstanding and profit measure different things; review missing cost information before relying on margins.
