Read a Fertilizer Shop Sales Report

Short answer

A sales report answers what was sold during a selected period. A payment report answers what money was received or paid. Read the sales summary alongside its invoice rows, returns and filters before using it to judge a shop’s activity or compare two periods.

State the question before opening the report

Decide whether you need invoice activity, product movement, money collected or profit. These questions use different records. In Kroply’s reporting area, select Sales for invoice activity and use payments or accounts reports for collections. A busy collection day can include very little new selling.

Fix the shop and date range

Confirm the active shop, start date and end date. The sales report requests invoice data using invoice dates. A receipt entered today against an older invoice is therefore a different event from a sale dated today. Write down the selected dates when passing a report to another person so they can reproduce the view.

Trace a headline number to details

Inspect the underlying invoice rows and open a source invoice when something looks unusual. Review discounts, final amounts and return history rather than relying only on product quantity multiplied by a listed rate. Confirm which summary fields represent invoice totals or return adjustments before subtracting anything yourself.

Worked sales-versus-collection example

Illustrative example: today’s two invoices total ₹6,000 and ₹4,000. Customers pay ₹3,000 toward the first and ₹4,000 toward the second, and another customer pays ₹2,000 against an older invoice. New invoice value is ₹10,000, while receipts across these transactions are ₹9,000. The unpaid portion of today’s invoices is ₹3,000. No return or other adjustment is assumed in this example.

Investigate returns without subtracting twice

A return refers to an original sale and has its own recorded history. Review both records when the return occurs in another period. Do not subtract a return from a displayed amount until you know whether that amount already reflects it. Use the same report and filters for comparisons; a dashboard card and a detailed export may answer different questions.

Prepare a reproducible hand-off

Include shop, report name, period and any available filters with the exported file or review notes. List the invoice references behind unresolved differences. Check that the on-screen selection matches the intended export before sending it. Review profit separately, because sales value alone does not include the cost of sold goods and operating expenses.

Why can collections exceed today’s sales?

Collections can include payments against older invoices. Compare the receipt references rather than treating all incoming money as today’s sales.

Is sales value the same as profit?

No. Profit reporting also depends on recorded costs, expenses, returns and the report’s selected basis and preferences.
