To reconcile a fertilizer bill book, separate today’s sales from money collected against earlier bills. Start with a bill-by-bill record

For each bill, retain the invoice number, date, customer reference, product and pack, quantity, final amount, payment method, amount received and balance. Keep a traceable reference for later receipts and returns. These are operational reconciliation fields, not a prescribed statutory invoice format.

Worked example: three sales and one old receipt

Assume a hypothetical day with final invoice totals of ₹1,200 paid in cash, ₹800 paid by UPI and ₹2,000 sold on credit with no payment. A customer also pays ₹500 in cash against an older bill. Today’s sales total ₹4,000. Today’s collections total ₹2,500: ₹1,700 cash and ₹800 UPI. The old ₹500 receipt is a collection, not another ₹500 sale.

Reconcile the customer balance

If opening customer dues are ₹3,000, add today’s ₹2,000 unpaid sale and subtract the ₹500 old-bill receipt. Closing dues are ₹4,500 in this example. This calculation assumes no other receipts, returns, discounts or adjustments. Investigate a difference by customer and invoice rather than replacing the closing balance without a reason.

Count cash separately from digital payments

If the cash drawer opened at ₹1,000 and there were no cash expenses, deposits, withdrawals or refunds, expected closing cash is ₹2,700. The ₹800 UPI sale belongs in digital collections, not in the drawer. Match digital payments to confirmed transaction records and note timing differences before marking a bill paid.

Find a mismatch without losing the trail

Check duplicate invoice numbers, missing receipts, wrong payment methods, partial payments and entries saved under another date or shop. Keep cancelled or returned bill references so the sequence remains explainable. A return can affect stock and balances; inspect its recorded effects before adjusting totals again.

Move from a paper bill book carefully

Choose a cutover date. Reconcile opening stock and customer balances first, and keep the old bill book available for reference. Avoid entering old invoices again if their balances are already included in the opening position. Test one cash sale, one credit sale and a later receipt before using the new process for the full counter.

Questions and answers

Should an old credit payment be counted as today’s sale?

No. Record it as a receipt against the existing balance. Counting it again as a sale would overstate today’s sales.

Is this a legally prescribed fertilizer bill format?

No. It is an operational reconciliation example. Confirm required invoice fields and records with your accountant or the relevant authority.
