Stock and stock audit | Product guide

Monitor product stock and expiry, set low-stock levels, count physical inventory, explain discrepancies, finalize adjustments and export audit reports.

What you can do

Live product stock

Sales deduct, purchases add, eligible returns reverse movement and pack splits convert stock.

Alerts and valuation

Use low-stock, expiry, inventory and stock-summary reports with value and margin information.

Physical stock audit

Create full or scoped audits, count items and record discrepancy reasons and notes.

Finalize and export

Review matches, loss, excess and reason breakdown, finalize inventory adjustments and export CSV.

Step-by-step

Use stock audit for physical reconciliation; use Products for day-to-day master maintenance.

  1. Prepare product masters

Ensure products have correct unit, current stock, purchase price and category before the count.

  2. Create an audit

Open Stock Audit, choose Create Audit and select the available audit type and full or scoped inventory.

  3. Enter physical quantities

Count each product, enter the observed quantity and add a reason or note for differences.

  4. Review before finalizing

Check uncounted items, system versus physical quantity, discrepancy and value.

  5. Finalize and export

Finalize only when the count is approved, then open the report and export CSV if needed.

Frequently asked questions

Can stock-audit adjustments affect profit and loss?

Settings includes a preference controlling whether stock-audit impact is included in profit calculations.

Can I export an audit?

Yes. Finalized audit reports provide CSV export.

Why does the out-of-stock list show fewer rows?

Reports → Stock Alerts shows one out-of-stock row per product name: the same product from different companies is merged and its brands are listed together. Only items whose stock changed in the last 60 days are included.
